This Privacy Policy explains what information Easy Note ("the app", "we", "us") collects when you use our iOS and Android apps and this website, why we collect it, who we share it with and the choices you have. Easy Note is operated by Bridge Softwares, Sepapaja 6, 15551 Tallinn, Estonia, which is the data controller for the personal data described here.
The short version: we use your recordings only to produce your transcripts, summaries and answers; we never sell your data; your content is never used to train AI models; and you can delete it at any time.
1. Information we collect
Account information
When you first open the app we create a private guest account so you can start without signing up. If you create an account, we collect your email address, or the name, email address and profile identifier that Google shares with us if you choose Google sign-in. We store your account identifier, the date it was created and your basic app preferences.
Your content
- Recordings you make in the app, and the audio of online meetings you ask our notetaker to join.
- Generated notes: transcripts with speaker labels and timestamps, summaries, action items, decisions and titles.
- Questions you ask your notes with Ask, and the answers.
- Organization data such as folder names and the template you choose for a note.
- Meeting details when you use the notetaker: the meeting link, the platform and the scheduled join time.
Usage and device information
We collect app usage events (for example, which screens are opened and which features are used), device model, operating system, app version, language, approximate region derived from your IP address, and crash reports. These events never include the content of your recordings, transcripts, summaries, questions, note titles or file names. On iOS we ask before using your device's advertising identifier; you can change this at any time in Settings > Privacy & Security > Tracking.
Purchase information
If you subscribe to Pro, the App Store or Google Play processes your payment. We receive the subscription status, product, purchase and renewal dates and a store transaction identifier. We never receive your card details.
Microphone access
The app asks for microphone permission so it can record. It records only while you are actively recording a note.
2. How we use your information
- To transcribe recordings, identify speakers, write summaries and answer your questions.
- To send a notetaker to meetings you schedule and turn its recording into a note.
- To sync your notes across your devices and keep your account secure.
- To apply plan limits, such as the free plan's monthly note count, and to provide Pro features.
- To understand how the app is used, fix crashes and improve features, using usage data that excludes your content.
- To measure which of our ads and campaigns bring new users, using device identifiers and app events, never your content.
- To respond to support requests and to comply with legal obligations.
3. AI processing
To produce transcripts, summaries and answers, the audio of your recording and the resulting text are sent to OpenAI through its API. Under OpenAI's API terms, data sent through the API is not used to train its models and is retained only for a limited period for abuse monitoring, after which it is deleted.
AI output can be inaccurate. Summaries and answers are generated only from what was said in your recording, but you should check anything important against the transcript.
4. Meeting notetaker
When you send the notetaker to a Google Meet, Microsoft Teams or Zoom meeting, a bot operated by our provider Recall.ai joins the call under the name "Easy-Notes Bot" and records the meeting audio. Other participants can see the bot in the meeting. Once we have imported the recording into your account, we ask Recall.ai to delete its copy.
Meeting recordings contain other people's voices and words. You are responsible for telling participants that the meeting is being recorded and for obtaining any consent required by law where you and they are located.
6. How long we keep your data
- Notes and recordings are kept until you delete them or your account. Deleting a note deletes its recording, transcript and summary.
- Recordings on your device are removed from the app's storage once they have been uploaded.
- Meeting recordings held by Recall.ai are deleted after they are imported into your account.
- Account data is kept while your account exists and deleted when you delete your account or ask us to.
- Usage analytics and crash reports are kept according to Google Firebase's retention settings, and never contain your content.
7. Security
Data is encrypted in transit and at rest. Your notes are stored in a database that only your account can read, and changes to them go through our servers rather than directly from the app. No system is perfectly secure, but we work to protect your data and to limit access to it.
8. International transfers
Our servers and service providers are located in the United States. When we transfer personal data from the European Economic Area, the United Kingdom or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
9. Legal bases for processing
- Performance of a contract: to provide the app, your notes and your subscription.
- Legitimate interests: to keep the service secure, prevent abuse, fix crashes and improve the app using content-free usage data.
- Consent: for microphone access, for ad tracking on iOS and where the law requires it. You can withdraw consent at any time.
- Legal obligation: to keep records required by law.
10. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or export your personal data, to restrict or object to its processing, and to withdraw consent. You can:
- Delete individual notes at any time in the app.
- Delete your account and all its notes in the app (Account, then Delete account), as described on our account deletion page, or by emailing fakher.hakim@bridge-softwares.com. We complete emailed requests within 30 days.
- Turn off microphone access in your device settings.
- Contact us to exercise any of your other rights.
If you are in the EEA, you can also complain to your local data protection authority. Our lead authority is the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).
California residents: we do not sell your personal information. We share device identifiers and app events with AppsFlyer to measure our advertising, which California law may treat as sharing for cross-context behavioral advertising. To opt out, turn off tracking on iOS (Settings > Privacy & Security > Tracking), delete your advertising ID on Android, or email fakher.hakim@bridge-softwares.com.
11. Children
Easy Note is not directed to children under 13 (or the minimum age in your country). We do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.
12. Changes to this policy
We may update this policy as the app changes. We will post the new version on this page and update the date at the top, and tell you in the app about any material change.
